Office Billing Administrator

Job Description
Our client, a respected CPA firm, is seeking an organized and personable Office & Billing Administrator to support daily operations and client service functions. This role offers the opportunity for long-term growth into more senior administrative positions within the firm. The ideal candidate takes initiative, enjoys working with clients, and brings a professional, polished presence to the office environment.
  • Key Responsibilities:
  • Serve as the first point of contact and "first face of the firm" for clients and visitors.
  • Manage front-office operations including scheduling appointments, responding to client inquiries, and maintaining an organized workspace.
  • Collect and review client intake documentation and tax preparation forms for accuracy and completeness.
  • Create and maintain client files in both physical and digital formats.
  • Manage client billing, including tracking payments, preparing invoices, and coordinating with accounting staff on payment status.
  • Support internal administrative functions, including correspondence, filing, and record maintenance.
  • Assist partners and staff with general office and project coordination as needed.
  • Schedule and Benefits:
  • Standard schedule: Monday through Friday, 8:30 a.m.-5:00 p.m.
  • Summer schedule (10 weeks): Monday through Thursday with Fridays off (paid) during the slow season.
  • Paid one-week office closure during the Christmas holiday.

  • No medical insurance at this time (the firm anticipates adding medical coverage in 2026). Perm employee
  • Qualifications:
  • Minimum of 2 years administrative or office management experience; experience in a professional services or CPA firm strongly preferred.
  • Strong interpersonal and communication skills with an emphasis on client service.
  • Proficiency with Microsoft Office Suite and general office software.
  • High attention to detail, accuracy, and confidentiality
  • Ability to multitask and manage deadlines in a dynamic environment.
